Mailroom Policies
Add your name or department to the return label of all out-going mail in case there is a problem with processing.
Do not use stationery envelopes for inter-campus mail purposes. Inter-campus envelopes are provided through the Receiving Dept
Do not use stationery envelopes for personal use. They are provided for business use only.
Use the appropriate size envelope for the item you are mailing. Do not use oversized envelopes to mail single pieces unless they can not be folded.
Seal thick envelopes (greater than 1/4" thick) and oversized envelopes (9 X 12" and 10 X 13").
Do not use any mail bins or trays for personal use without contacting the mailroom first. These are federal supplies loaned to the mailroom by the post office for mailing purposes only.
Flag foreign correspondences in some way. Currently, all foreign correspondences need a signed "customs declaration" form on them. When mailing foreign correspondences, please contact the mailroom for the proper forms.
Avoid dark and neon colors when creating postcards and flyers. The post office may refuse to mail dark or neon items.
If your mailing contains books or school catalogs only, let the mailroom know so we can take advantage of lower postage rates.
Contact the mailroom when you want to utilize Federal Express. We can provide you with envelopes, forms, and packaging advice.
If you are planning on doing a bulk mailing, contact the mailroom prior to printing. We will provide you with the proper forms, processing equipment, and a list of guidelines which are specific to bulk mail.
